A late-cancellation policy clients actually respect

29 October 2026 · 4 min read

Every trainer has had the 6am message: 'Sorry, can't make it today.' One late cancellation is fine. A habit of them costs you a paid slot you could have filled. A clear policy, agreed at the start, protects your time without damaging the relationship.

Decide on your notice period

Pick a cut-off and stick to it. Common choices are 12 or 24 hours before the session. Anything cancelled inside that window counts as a used session; anything outside it can be moved for free.

Say what happens with no-shows

A no-show (the client simply doesn't arrive) should always count as a session used. Say so plainly in the policy.

Allow a sensible exception

Real emergencies happen. Many trainers allow one free late cancellation per pack or per month. It shows good faith and makes the rule easier to enforce the rest of the time.

Get agreement upfront

Explain the policy before the first session and ask the client to confirm they've read it, for example by replying 'agreed' on WhatsApp. It is much easier to apply a rule someone has already accepted.

Apply it the same way every time

Inconsistency is what causes arguments. If the system logs a late cancellation as a used session automatically, it stops being a personal decision you have to defend.

A simple policy you can copy

  • Sessions cancelled more than 24 hours before the start time can be moved at no cost.
  • Sessions cancelled within 24 hours, and no-shows, count as a session used.
  • You get one free late cancellation per pack for emergencies.
  • Sessions must be used before the pack's expiry date.

In Coach SA you set your cancellation rule once and it applies to every session you log, so clients see exactly why a session was used.
